This Privacy Policy describes how Ledger Build LLC ("we", "us") collects, uses, and shares information when you use the Ledger platform ("Service").

1. Information we collect

  • Account information: name, email, password (hashed), profession, phone number, and platform.
  • Subscription information: Stripe customer and subscription identifiers and the plan tier; we do not store full card numbers.
  • Content you create: projects, bids, invoices, receipts, labor entries, photos, and notes.
  • Integrations data: when you connect QuickBooks or Stripe Connect, we receive and store the data those services return under the scopes you authorized.
  • Usage data: device type, IP, app version, and timestamps for security and analytics. Our servers keep a first-party log of requests to our site and app, including IP address and browser type, which we use to keep the Service secure and to distinguish automated traffic from people.

We use cookies and similar technologies for authentication, security, and basic usage analytics. We do not use them for advertising or cross-site tracking.

2. How we use information

  • To provide, secure, and improve the Service.
  • To generate AI-assisted bid drafts and pricing estimates by sending the relevant project content to our AI provider (OpenAI). Under OpenAI's API terms, this content is not used to train OpenAI's models and is retained by OpenAI only briefly for abuse monitoring before deletion.
  • To improve our AI features and the Service: we review and analyze the content you submit and the resulting AI output — including the edits and corrections you make — to refine our prompts, instructions, and pricing references, and to fine-tune our own in-house models. Your content stays in-house — we do not sell it or share it with third parties to train their models, and our third-party AI provider (OpenAI) does not use it to train OpenAI's models (retaining it only briefly for abuse monitoring before deletion).
  • To process payments and recurring subscription billing through Stripe.
  • To send transactional emails (verification, password reset, invoice notifications, billing receipts, account-deletion confirmations) and optional marketing emails you can unsubscribe from at any time.
  • To send text messages to the mobile number you provide: one-time verification codes and security alerts if you turn on a security feature that uses SMS, and account-activity notifications if you opt in to them. We do not use your phone number for marketing and we do not share it for marketing. See the SMS section of our Terms of Service for program details and how to opt out.

3. How we share information

We share information only as needed to operate the Service:

  • Service providers: Stripe (billing + Connect payments), OpenAI (AI generation), QuickBooks (when connected), Resend (transactional email), Twilio (for SMS delivery), and our cloud-hosting provider.
  • Legal requirements: if required by law, court order, or regulatory request.
  • Business transfers: if we are acquired or merged, your information may transfer to the successor entity, subject to this Policy.

We do not sell your information.

4. Data retention and deletion

We retain Your Content for as long as your account is active. When you delete your account (Settings → Delete account), we soft-delete immediately and hard-delete after a 7-day grace window during which you can cancel the deletion. After the grace window passes, the deletion is irreversible.

You can also request export of your data via admin@ledger-build.com.

5. Your rights

The Service is offered in the United States only and is not directed to users outside the United States.

You may request access to, correction of, deletion of, or a copy of your data at any time by emailing admin@ledger-build.com, or by using the export and delete tools in the Service (Settings → Delete account).

If you are a California resident, you have additional rights under California privacy law, including the right to know what personal information we collect and how we use it, the right to request deletion, and the right to opt out of the sale or sharing of your personal information. We do not sell or share your personal information, and we will not discriminate against you for exercising any of these rights.

6. Security

We use industry-standard practices to protect your data, including encryption-in-transit (TLS), bcrypt password hashing, JWT-based access tokens with refresh-token rotation, and least-privilege service boundaries. No system is perfectly secure; we cannot guarantee absolute security.

7. Children

The Service is not directed to children under 13 and we do not knowingly collect information from children under 13.

8. Where we operate

The Service is operated from the United States and your data is stored and processed there. We do not currently offer the Service outside the United States.

9. Changes to this Policy

We may update this Policy from time to time. When we do, we will update the "Effective date" and "Version" above, and require you to accept the updated Policy before continuing to use the Service.
